Extensions and extenuating circumstances

There are a number of options available if you are struggling with your studies, or need help with other aspects of student life:

  • We encourage you to speak to a member of staff from your course team (detailed in your Course Handbook).
  • Help, advice, guidance and support is available from sabbatical officers in the Students Union and Students Union Advice Centre.
  • Visit the Student Support Office, SJ1/01, staff will be able to advise you on the options available, and if necessary refer you to one of our Student Guidance Support Officers.  They will be able to give you advise and tools on managing your studies and coping with student life, as well as help you decide on the best options if you are struggling with assessments and time management. 

You may find that you need to request an extension or apply for extenuating circumstances.  The below information is intended to help you understand these options.

Extensions

If you have difficulties such as a short term illness and need to request an extension, you should access the application process through the StudentHub

Extensions can be requested at any point up to two working days after the initial deadline but you should continue to assume that the original submission date applies until you receive confirmation and details of the agreed new submission date.  This means that, if you submit a request for an extension close to the submission date and your request is subsequently refused, the normal regulations regarding late submission of work will apply.

Work received up to five working days after the published submission date with no prior agreement will be capped at the pass mark (usually 40%).

The length of an extension will be determined by the School but would normally be for 5 working days.  Requests for extensions in excess of 5 working days may be considered.  Requests will always require the production of independent supporting documentation (similar to that required for Extenuating Circumstances).

Extenuating circumstances

If you have suffered from a longer term illness or other serious difficulties of a personal nature (extenuating circumstances: ECs), you may be able to make a request for these to be taken into account in reviewing your performance in, absence from or failure to submit an assessment (exam or coursework). If you want to make a claim for Extenuating Circumstances, it is your responsibility to make that claim in full and in writing and to submit it to the Student Support Office in the Spärck Jones Building, on Floor 1 in Room 1 (SJ1/01).  The office is open 8.30am to 4pm, Monday to Friday. Students at University Campus Barnsley, please hand in your documents to the admin staff at the campus.

IMPORTANT NOTE: A written claim of extenuating circumstances relating to any element of assessment must be received as soon as possible no later than five working days after the submission date for the assessment concerned or the last scheduled examination on the timetable

You do not need your tutor to sign the form before submitting it, however you will need to speak to one of our Student Guidance and Support Officers.  More information can be found in the Regulations and you might find the Regulatory Support section particularly helpful.

Any EC form submitted, complete with evidence and checklist will be recorded and presented to the University EC Panel which meets approximately once per fortnight.  The outcomes from this panel will then be made known to you by email.
